GameDay Huddle
Where to get help with GameDay Huddle. Most questions about a registration, a price, a division, a document, a program or a refund belong to your club rather than to us, so this page says which is which before it gives you an address.
1. Start with your club
GameDay Huddle is the software your club uses. The club runs the program — it sets the prices, decides the divisions, chooses what documents it asks for, decides whether a refund is given and controls your child’s record. We store that information on the club’s instruction; we do not make those decisions and we cannot overrule them.
So these go to the club — usually its registrar, its treasurer or its President:
- A price, a discount code, a payment plan or a refund.
- Which division or team a child was placed in.
- A document the club asked for, or a document it rejected.
- Deleting a child’s record. Only the club can do this, and only its President.
- Who at the club can see a child’s health information, and who has read it. The club can see that log; we do not show it to parents.
- Anything about practices, games, venues or coaching.
2. What you can do yourself
| What | Where |
|---|---|
| Correct your child’s details | Open the child in the app — but not the date of birth once a verified document has locked it |
| Correct health information and emergency contacts | On a current registration, in a season the club has not closed — they belong to the registration, not to your child’s general profile |
| Say no to photographs of your child | The No photos of my child switch on the child’s screen |
| Take a child’s fundraising page off the public web | The Fundraise screen |
| Delete a document or photograph you uploaded | Open the child, open the document — immediate, no undo |
| Invite another guardian | The child’s screen |
| Correct your own name or phone number | More → Name and phone, or /account on the web |
| Change the email address you sign in with | More → Sign-in email, or /account on the web — a code goes to the new address, and nothing changes until you enter it |
| Download a copy of your data | Download my data on /account, on the web |
| Stop a lost or stolen phone getting your notifications | Sign in on the web, open /account and choose Sign out everywhere — or More → Sign out everywhere on a phone you still have |
| Turn push notifications off | The More screen — your notices still come to the app |
| Rotate or revoke a calendar link | More → Calendar links |
| Mute a chat, or block somebody in it | Inside the chat |
| Hide a club you no longer use | The More screen — nothing is deleted and the club is not told |
| Delete your account | More → Delete my account, or read what that does first |
3. What needs us
These need a person at our end. Before helping with account recovery, a change of sign-in email, an account lock or anything to do with deleting an account, we will ask for enough to verify your identity. We will not ask you to email us a child’s health details, a date of birth or a document unless there is no safer practical way to solve the problem.
- Changing the email address you sign in with, when you can no longer read the old one. We start the change; you finish it by proving you can read the new mailbox.
- Getting back into an account you cannot sign into.
- Stopping a lost phone when you cannot sign in anywhere. We can lock your account, which stops every phone getting notifications at once, and unlock it once you can sign in again.
- Anything the download leaves out. It holds what the app shows you. If you want to know whether we hold anything else about you, ask us.
- Deleting an account after its 30 days have passed. We can help you get back in, if that is possible, so that you can delete it yourself. We cannot delete an account for you, and we cannot undo a deletion that is complete.
4. Our email, and marketing
Your notices come through the app, not by email, with these exceptions, which we also email: the notice that a refund is on its way; your ticket confirmations, any change to or cancellation of a ticketed event, and the reminder the day before it; and the notice before a club charges your card for equipment. The rest of our email is for signing in, for keeping your account secure and for invitations to a club’s staff or to be a second guardian. A receipt for a donation or a sponsorship comes from Stripe, not from us.
That email is transactional: each one is tied to your account or to a payment. It is not marketing, so it carries no unsubscribe link. If it is reaching you wrongly, tell us. If GameDay Huddle ever sends marketing email, it will identify the sender, include a postal address and offer a way to unsubscribe, as the law requires.
5. Child safety, abuse and objectionable content
Report harassment, abuse, a child-safety concern, unlawful content, child exploitation or other objectionable content with the reporting tools in the app where there are some, and by writing to support@gamedayhuddle.com. Any message in a team chat can be reported, anybody can be blocked, and a club’s staff can moderate a chat. Do not use the platform to post or ask for unlawful content, child sexual abuse material, threats, harassment or another family’s private information.
6. Health and emergency information
Please do not email us a child’s health details, date of birth, medications, allergies, emergency contacts or documents, unless we specifically ask for them because there is no safer way to resolve the problem. Use the app, or the process your club approved, whenever you can. If a problem involves health or emergency information, describe it without the sensitive details and we will tell you the safest next step.
7. For club staff: connecting Stripe
A club is paid through its own Stripe account, connected from Payouts in the app. Stripe asks for these. Having them ready makes it quick:
- An email address, a password and a mobile number for the club’s Stripe login (Stripe texts a code to that number when you sign in).
- The club’s EIN (its federal tax ID).
- The club’s legal name, exactly as the IRS has it.
- The club’s address and phone number.
- A bank account in the club’s name, not a personal one.
- One officer’s name, date of birth, home address and the last four digits of their Social Security number. If those four digits don’t check out, Stripe asks for the full number.
You type these into Stripe’s own pages, never into GameDay Huddle.
8. How to reach us
Write to support@gamedayhuddle.com. It helps to say which club you are with and the email address you sign in with. Privacy questions go to privacy@gamedayhuddle.com.
We do not promise a particular reply time here, because we would rather not print one we cannot keep. You will get a person, not a form.
